From Engagement to the Wedding Day
This is an ideal 18 months to 12 months in advance. We can indeed plan your full-service wedding planning in 12 months or less, depending on the couple.
- Unlimited consultations with Chandai via email and phone
- Up to 5 meetings with the client to cover all aspects of the wedding planning including:
- Initial meeting is to discuss estimated expenditure, priorities for the wedding and the process for meetings.
- Venue scouting up to 2 venues
- Attend meetings with potential service providers based on client’s needs: 1-2 meetings with photography, videography, invitations, lighting, wedding baker
- Initial walkthrough at the venue to understand your vision for how the wedding will flow
- Attend menu selection/ banquet set up meeting
- Final detail meeting at your venue with you and your chosen vendor
- Budget Management
- Schedule Payments & Reminders to your choice of vendors
- Review and proof the banquet event order (BEO) provided by the caterer and venue
- Place & confirm all rental orders for chairs, linens, draping, lounge furniture, dance floor, china, glassware, glassware, trees, and props such as mandap and ceremony props
- Assist you with the selection of ceremony music and band or disc jockey for reception
- Referral to the best floral designers
- Provide referrals for all other wedding vendors including:
- Wedding Gown Boutiques
- Officiants
- Transportation
- Hair and Make-up Artists
- Men’s attire
- Childcare
- Contact service providers for arrival times and communicate venue’s procedures for unloading, set up and tear down
- Assist with selection of stationery for save the date cards, invitations, and all reception items
- Provide proofreading & approval of all printed items
- Review proposals and terms of contracts for all vendors before signing and payment
- Produce a comprehensive and complete timeline of the wedding day·including a bridal party timeline
- Provide you with information on obtaining your marriage license
- We will provide up to four planners/coordinators on the wedding day based on guest count & complexity of the event
- Assist with the selection of favors, gifts and welcome baskets
- Research hotel accommodations & group room blocks
- Distribute client-approved timeline to all vendors 2 weeks before the wedding date
- Work with Officiant in coordinating the ceremony
- Communication with vendors to ensure payment management is handled
- Count & confirm all vendor orders (DJ, Caters & Decor) and quantities per contract
- Coordinate with managers, banquet staff regarding set ups and compliance of floor plans and timeline of the event
- Assist with set up- Seating Cards, Menus, Favors, Sign-in Book, Gifts, etc.
- Attend soundcheck with Band musicians/ or DJ
- Direct Ushers with seating and program distribution
- Communicate with musicians on ceremony and reception song selections and cueing wedding party for processional, recessional and reception
- Work with Band/DJ to establish timing for Grand Entrance, First Dance, Cake Cutting, Bouquet and Garter Toss
- Organize and pack away towards the end of the event any leftover seating cards, menus, favors, sign-in book, gifts, etc.
- Handle final payments and gratuities to vendors before departure
- Troubleshoot any questions or concerns you may have on the wedding day and throughout the planning
